Rule 1 — Never paste real youth names
Always use roles. "A Sixer", "a new Joey", "a youth member working toward Bushcraft Stage 2". Same goes for parent names, addresses, phone numbers, and medical conditions.

Rule 2 — Never paste a youth member's photo
Even to ask the AI to "describe the scene." Photos of youth members are governed by the Photo & Media Consent process, and AI services don't fit that consent framework.

Rule 3 — Never use this site to discuss a child-safety concern
If a youth member discloses something, or you observe something concerning, the path is: tell your Group Leader and contact Scouts Victoria's Member Protection / Child Safe contact. Do not log the concern in any AI conversation.

Rule 4 — Treat every output as a draft
It's a starting point you review, not a finished product. Especially for risk assessments and anything that affects child safety. Group Leader sign-off is what makes a risk assessment real.

Rule 5 — Verify Scouts policy claims against the live source
The AI has read a lot but it can be wrong about specifics like ratios, Activity Intent forms, or course names. scoutsvictoria.com.au is the source of truth.
What this site does with your input
When you submit a form in live mode:
- Your form text is sent to our server (a small PHP script on Hostinger).
- The server adds a system prompt and forwards the request to Anthropic's API (the company that makes Claude).
- Anthropic's response comes back to you. The site does not store your prompts or outputs.
- Anthropic may retain API requests for safety and abuse prevention per their Privacy Policy.
- The site does not log your IP, identity, or content beyond a per-day rate-limit counter.
In sandbox mode, nothing leaves your browser — you see pre-canned demo responses.
What this site is and isn't
- Not affiliated with Scouts Victoria, Scouts Australia, or any World Organization of the Scout Movement body.
- Not a substitute for Activity Intent, risk assessment sign-off, your Group Leader, your Unit Council, or Scouts policy.
- A leader's tool — built by a Scout leader for other Scout leaders. Use it to save time on drafts, not to outsource judgement.
Reporting concerns
If you encounter something on this site that looks unsafe, broken, or against Scouts values, contact the maintainer directly. For child-safety concerns about a youth member, go through proper channels: your Group Leader and Scouts Victoria Member Protection.
